This Privacy Policy explains how BCC Live, Inc. (“BCC Live,” “we,” “us,” or “our”) handles information in connection with the website located at https://sbotlabs.com (the “Website”) and the SBot Assistant mobile or web application (the “App”).

The Website is public and informational. The App is intended for authorized BCC Live employees, contractors, and approved production personnel who use SBot Assistant to support event and broadcast productions.
1. Summary
On the Website, we do not collect personal information and we do not track visitors.
In the App, we collect and process information from authorized BCC Live employees, contractors, and approved production personnel in order to facilitate event and broadcast productions. This may include account information, contact information, scheduling information, production activity, inventory activity, location information when specifically approved, camera or photo-library content when permissions are granted and used, tickets, emails, AI chats, and related production workflow information.
We do not sell personal information. We do not use personal information for targeted advertising. We share information with third-party vendors only as needed to operate SBot Assistant, support production workflows, coordinate jobs and events, manage ticketing and inventory systems, operate cloud functions, and provide AI-assisted tools.
2. Website Privacy
The Website at https://sbotlabs.com is informational. We do not use the Website to collect personal information from visitors. We do not track visitors. We do not use Website analytics, tracking pixels, behavioral advertising tools, or similar technologies to profile Website visitors.
If you contact us directly by email, we may receive the information you choose to provide in that email, such as your name, email address, message content, and any attachments. We use that information to respond to you and for ordinary business communication.
Some hosting, network, or security providers may generate routine technical logs necessary to deliver and protect the Website. We do not use those logs to identify, profile, or track Website visitors.
3. App Users
SBot Assistant is not intended for general public use. It is intended for authorized BCC Live employees, contractors, and approved production personnel.
The App is used to coordinate event and broadcast productions, including race-day workflows, crew coordination, scheduling, ticketing, inventory services, cloud functions, and AI-assisted production tools.
The App is not intended for children.
4. Information We Collect in the App
If you register for or use SBot Assistant, we may collect the following categories of information, depending on your role, permissions, and the features you use.
Account and contact information
We may collect information such as your name, email address, phone number, login information, user role, employee or contractor status, production assignment, and related account information.
Scheduling and production information
We may collect scheduling information, availability information, event assignments, race-day schedule information, crew coordination information, job information, production notes, notifications, and related workflow records.
Location information
The App may request access to location information if location-based workflows are needed for production coordination. Location information is not recorded continuously. Location entries are recorded only when another authorized employee or production user sends a location notification request and the user approves that request.
If location permission is denied, revoked, or not approved for a request, the App may not be able to complete location-based workflow features.
Camera and photo-library information
The App may request access to your camera or photo library if those permissions are needed for production workflows. For example, users may capture or upload photos, videos, QR codes, barcodes, inventory records, venue details, production assets, ticket attachments, or other production-related materials.
Camera and photo-library access occurs only if permissions are granted and the relevant feature is used.
Inventory and equipment activity
We may collect inventory-related information, including item, unit, or kit checkouts; inspections; changes; activity logs; notes; photos; and related user activity necessary to support inventory and production operations.
Tickets, emails, messages, and workflow records
We may collect or generate tickets, emails, messages, notes, status updates, support requests, operational records, and workflow records created through or connected to the App.
AI chats and AI workflow information
If you use AI-assisted tools through the App, we may process prompts, messages, files, images, tickets, schedules, inventory information, production context, outputs, and other content submitted to or generated by those tools.
AI tools may produce inaccurate or incomplete outputs. Users are responsible for reviewing AI-generated outputs before relying on them for production, operational, personnel, safety, legal, or customer-facing purposes.
5. How We Use App Information
We use App information to:
- create, authenticate, and manage authorized user accounts;
- coordinate event and broadcast productions;
- support crew scheduling, notifications, and race-day operations;
- manage tickets, service requests, production tasks, and operational workflows;
- manage inventory, equipment, item checkouts, unit checkouts, kit checkouts, inspections, and changes;
- operate cloud functions and production-support services;
- provide AI-assisted production coordination tools;
- communicate with employees, contractors, and production personnel;
- maintain security, auditability, continuity, and reliability of production systems;
- troubleshoot technical issues and improve App functionality;
- comply with legal, contractual, employment, contractor, client, and business obligations.
6. Third-Party Vendors and Service Providers
We use third-party vendors and service providers to operate the App and support production workflows. These vendors may include ConnectWise, Google, and OpenAI.
Depending on the feature used, interaction with ConnectWise ticket boards, Google services, race-day schedules, race-day cloud functions, inventory services, AI tools, or related production systems may involve sharing user information, production information, schedule information, location information, media, tickets, messages, prompts, outputs, or other submitted content with those vendors.
We do not sell personal information to these vendors. We use these vendors to provide business, production, infrastructure, workflow, communication, ticketing, scheduling, inventory, cloud, and AI-assisted services.
Third-party vendors may process information according to their own terms, privacy policies, data-processing agreements, security practices, and applicable laws.
7. No Sale, No Targeted Advertising, and No Tracking
We do not sell personal information.
We do not use personal information collected through the App for targeted advertising.
We do not use the Website to track visitors.
SBot Assistant is a business and production-support application, not an advertising platform.
8. App Permissions
The App may request device permissions, including location, camera, and photo-library or camera-roll access. Permissions are requested to support specific production workflows.
You may grant or deny permissions through your device settings. You may also revoke permissions through your device settings. Some App features may not work properly if required permissions are denied or revoked.
Granting a device permission does not mean that all available information is collected automatically. For example, location entries are recorded only when another authorized employee or production user sends a location notification request and the user approves that request.
9. Data Retention
We use rolling retention windows and deletion practices designed to limit the amount of user-specific operational data retained in the App.
General app activity
General App activity is governed by a global rolling window for each user. General activity is automatically culled after 500 log entries per user.
Inventory checkouts
Item, unit, and kit inventory checkout records are governed by a global rolling window for each user. These records are automatically culled after 1,000 item, unit, or kit inventory checkouts per user.
General inventory activity
General inventory item, unit, or kit activity, including recently inspected or changed entries, is governed by a rolling window of the 100 most recently inspected or changed entries.
Location information
Location entries are recorded only when another authorized employee or production user sends a location notification request and the user approves that request. Location information is governed by a rolling window of the last 100 location entries.
General personal information and AI chats
Other more general information, personal information, and AI chats may be deleted at the user’s convenience, subject to business, legal, contractual, security, and operational requirements. Users may request deletion by contacting tom@bcclive.com or by using any available in-App deletion controls.
Disaster recovery backups
A full backup of the App dataset is created every 7 days for disaster recovery purposes. Backups are retained on a rolling 7-day window until the next backup is created. Information deleted from the active dataset may remain temporarily in disaster recovery backups until the backup is replaced in the ordinary rolling backup cycle.
Employment or contract termination
Upon termination of employment, contract, or authorized access, personal information associated with the user is deleted where appropriate and no longer needed for business, legal, contractual, security, or operational purposes.
Generated tickets, emails, AI workflows, production workflows, customer-related work records, project records, job records, inventory records, and other information generated by the user may be retained for legitimate business purposes, including continuity of projects and jobs with customers, customer support, production history, legal compliance, auditability, and operational continuity.
10. User Requests and Deletion
Authorized App users may request access, correction, or deletion of information associated with their App account by contacting tom@bcclive.com.
We will evaluate requests according to applicable law, BCC Live policies, employment or contractor obligations, client obligations, security needs, production-record requirements, business-continuity needs, and technical limitations.
Some information may be retained even after a deletion request if it is needed for legitimate business purposes, such as project continuity, customer work, generated tickets, emails, AI workflows, production records, inventory records, legal obligations, dispute resolution, security, accounting, auditing, or enforcement of agreements.
Deletion from active systems may not immediately remove information from disaster recovery backups. Backups are maintained on a 7-day rolling window and replaced as part of the ordinary backup cycle.
11. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information handled through the App. These safeguards may include access controls, authentication, vendor controls, limited retention, backups, and operational security procedures.
No system, network, software, vendor, cloud service, device, or transmission method is perfectly secure. Users are responsible for protecting their devices, protecting account credentials, using the App only for authorized purposes, and promptly reporting suspected unauthorized access, device compromise, or security issues.
12. Confidentiality and Production Information
The App may contain confidential or non-public production information, client information, event information, venue information, schedules, maps, credentials, inventory records, tickets, AI workflows, emails, operational notes, or other business information.
Users may access and use this information only for authorized BCC Live production and business purposes. Users may not disclose, publish, export, copy, or misuse confidential information except as authorized by BCC Live or required for assigned work.
13. International Access
The App may be used by employees, contractors, and production personnel working on events in different locations. Information may be processed in the United States and in other places where BCC Live, its users, vendors, or service providers operate.
By using the App, you understand that information may be processed outside the location where it was originally collected, subject to applicable law and vendor practices.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we update it, we will revise the “Last updated” date above. If changes are material, we may provide notice through the App, by email, or by another reasonable method.
Continued use of the Website or App after an updated Privacy Policy is made available means the updated Privacy Policy applies to your use going forward.
